Executive Assistant profile, Skills and Qualifications:

 Skills and Abilities

  • Ability to work independently on projects and administration, applying appropriate administrative expertise and decision-making
  • carrying out specific projects and research in politics and  business
  • Ability to prioritize and execute multiple assignments in a fast-paced environment while working under tight deadlines
  • Excellent verbal and written language skillsin English and Swedish. Good knowledge of Kinyarwanda and/or French.
  • Excellent skills in preparation of speeches, lectures, presentations and periodic reports
  • Excellent computer skills, including but not limited to, MS Word, MS Excel, MS Outlook and MS Power Point
  • Problem-Solving Skills and ability to make recommendations that effectively resolve problems by using judgment that is consistent with standards, practices, policies, procedures, and regulation both in Rwanda and Sweden.
  • Strong organizational and time management skills.
  • Excellent Presentation Skills, communication skills and professional use of social media
  • Flexibility and reliability
  • Ability to handle sensitive information with professionalism and confidentiality
  • Polite and friendly attitude towards colleagues and Embassy’s visitors

Qualifications

  1. At least Bachelor’s Degree in International Relations or in International/Public Business or in Political Sciences.
  2. Minimum proven three (3)  years experience in an Embassy or other public institution, assisting at or working closely with the leadership of the institution

Administrative Assistant and IT officer:profile, Skills and Qualifications:

 Skills and Abilities

  • Ability to work independently on projects and administration
  • Strong organizational skills with the ability to multi-task and the ability to prioritize work
  • Ability to execute multiple assignments in a fast-paced environment and to work under tight deadlines
  • Attention to detail and problem solving skills
  • Proficient in verbal and written skillsin English and Swedish. Good knowledge of Kinyarwanda and/or French
  •  Ability to handle the newsletter/circular notes  of the Embassy  in English and Kinyarwanda (research, editing, graphic and  sending out)
  • Ability to create and manage a digital filling system and data base of Embassy’s contacts and other relevant information
  • Excellent computer skills, including but not limited to, MS Word, MS Excel, MS Outlook and MS Power Point.
  • Ability to professionally provide IT support and maintenance (software and hardware) at all levels at the Embassy
  • Flexibility and reliability
  •  Ability to handle sensitive information with professionalism and confidentiality
  • Polite and friendly attitude towards colleagues and Embassy’s visitors

Qualifications

  1. At least Bachelor’s Degree in International Business Management or Public Administration or in political Sciences or in ICT
  2. Minimum proven two (2)  years working experience in  project management,  in IT services  or other related experience
  3. Driver’s licence would be an advantage

 

Office Administrator: profile, Skills and Qualifications

Skills and Abilities

  • Strong organizational skills and practical thinking
  • Ability to work independently on different assignments with problem solving attitude and the ability to multi-task and respect deadlines
  • Good language skills (verbal and written) in English and Swedish. Good knowledge of Kinyarwanda and/or French
  • Good computer skills, including MS Word, MS Excel, MS Outlook and MS Power Point.
  • Flexibility and reliability
  • Ability to drive the embassy’s cars in accordance with Embassy policies and procedures
  • Ability to ensure safe driving and compliance with general traffic regulations;
  • Good knowledge of vehicle maintenance such as refueling, oil changing, and other minor task and cleanliness
  • Ability  to deal peacefully and calmly with unforeseen circumstances or delays and use advanced driving techniques to better improve time management and safety
  • To undertake all duties related to Embassy’s logistics and maintain updated inventory of Embassy assets
  • Management of the Embassy store: maintaining detailed records and  ensure timely purchasing of needed material
  • Polite and friendly attitude towards colleagues and Embassy’s visitors

Qualifications

  1. At least Bachelor’s Degree in Business Management,  International, Public  or office Administration
  2. At least proven two (2)  years’ experience as office administrator, office assistant or equivalent/relevant position
  3. Driver’s licence
